Terms of use

Rules for authorised use of ShieldCore Intra, the company’s internal workspace.

1. Provider and service

ShieldCore Intra is provided by ShieldCore L.L.C-FZ, a limited liability company registered in Meydan Free Zone, Dubai, United Arab Emirates, formation number 2650857.

These terms apply to the internal service at intra.shieldcore-dc.com.

2. Authorised users

Only people approved by ShieldCore may access Intra. Access requires a company Microsoft account and an active portal membership. A directory entry or access to another ShieldCore system does not by itself grant access to Intra.

Users must keep their Microsoft account and authentication methods secure, must not share access, and must promptly report suspected unauthorised use to antti.nokka@shieldcore-dc.com.

3. What each system is for

  • Pipedrive: leads, organisations, external contacts, deal stage, value, probability, expected close date, sales interactions and sales follow-ups.
  • SharePoint: original company and customer files, collaborative editing, version history, working PowerPoints, approved PDFs, drawings, proposals, contracts and media.
  • Intra: company knowledge, curated access to files, customer-work context, technical and project meetings, decisions, internal delivery actions and the colleague directory.

Users should link between systems instead of copying the same information into several places. The source file in SharePoint and the commercial record in Pipedrive remain authoritative for their respective purposes.

4. Proper use

Users may use Intra only for legitimate ShieldCore work and within their assigned access. Users must:

  • choose the correct company, customer-work, participant or private access level;
  • keep records accurate, relevant and professional;
  • respect customer, supplier, colleague and third-party confidentiality;
  • follow usage flags, licences and source attribution for files and media;
  • use approved SharePoint folders for original files; and
  • report incorrect access, confidential-data exposure or security concerns promptly.

Users must not attempt to bypass permissions, access another person’s private records, upload malicious material, interfere with the service, use information unlawfully, or store special-category, formal HR, compensation or other highly sensitive personal data unless ShieldCore has expressly authorised the purpose and controls.

5. Content, revisions and responsibility

Users are responsible for content they create, edit, upload or link. Saving a record creates a revision and may create an audit entry. Draft, needs-review, historical and source-reference material must not be presented as current, approved or verified.

Technical, engineering, safety, commercial and legal decisions must be checked against the current approved source, contract, drawing, specification or responsible specialist. Intra is a coordination and knowledge tool; it does not replace formal approval or professional judgment.

6. Confidentiality and personal data

Intra contains non-public company and customer-work information. Users may disclose content only to people who are authorised and need it for work. Downloading, exporting or opening a linked file does not remove its confidentiality or usage restrictions.

Personal data is handled as described in the Privacy notice. Users entering information about another person must have a legitimate business reason, record only what is necessary and select the correct access level.

7. Files, publishing and Microsoft access

Intra reads SharePoint through delegated Microsoft permissions for the signed-in user. It does not grant access to files the user cannot otherwise access in Microsoft 365.

Only authorised publishers may create or replace an approved PDF through the deck workflow. The related PowerPoint remains the editable source in SharePoint. Publishing must not be used to bypass review, approval, licence or confidentiality requirements.

8. Intellectual property

ShieldCore, Verona, customer, supplier and third-party materials remain owned by their respective rights holders. Access to Intra does not transfer ownership or grant a right to use material outside authorised company work. Copyright, trade mark, licence, attribution and usage restrictions continue to apply.

9. Third-party services

Microsoft 365, SharePoint and Pipedrive are separate services governed by their own terms and availability. Intra may link to them or use delegated Microsoft interfaces. ShieldCore is not responsible for a third-party service outage or a user’s breach of that provider’s terms.

10. Security, monitoring and suspension

ShieldCore may maintain access, revision, audit and security records needed to operate and protect the service. ShieldCore may restrict or deactivate access when a person no longer needs it, leaves the relevant role, creates a security or confidentiality risk, or breaches these terms. Deactivation does not require an invitation or notice through Intra.

11. Availability and changes

ShieldCore may maintain, change or temporarily interrupt Intra to protect security, correct errors or improve operations. Reasonable efforts will be made to preserve business records and recover the service, but uninterrupted availability is not guaranteed. Users must keep original files in SharePoint and must not rely on Intra as the sole copy of a required document.

12. Liability

To the extent permitted by applicable law, ShieldCore is not liable for indirect or consequential loss caused by unavailable service, incorrect user-entered content, reliance on unverified material or a third-party service. Nothing in these terms excludes liability that cannot lawfully be excluded.

13. Governing law

These terms are governed by the laws applicable in the Emirate of Dubai and the federal laws of the United Arab Emirates, without limiting any mandatory protection that applies to a user. Disputes are subject to the competent courts of Dubai unless mandatory law requires another forum.

14. Changes and contact

ShieldCore may update these terms when the service or its operating requirements change. The effective date at the top identifies the current version. Continued use after an update is subject to the updated terms.
